AI automation systems for real business workflows.

We automate the work that moves between your systems: leads, requests, emails, documents and records. Workflow engines and integrations do the routine work, AI handles the steps that need reading or judgment, and people stay in the loop where it matters.

/ The problem

Most business work is already a workflow. People are just carrying it.

The steps are usually clear: something comes in, someone checks it, a record changes, someone is told. The trouble is that each step depends on a person moving it along.

01

People as the integration

Someone copies a form into the CRM, a CRM note into an email, an email into a spreadsheet. The work is real, but it’s mostly moving data.
02

Requests wait in inboxes

Enquiries, approvals and internal requests sit until someone sees them, and nothing tells you which ones are stuck.
03

Data in five places

The CRM, the inbox, the spreadsheet and the accounting tool each hold part of the picture, and none of them agree.
04

AI that isn’t connected

A chatbot or a prompt in a browser tab can be useful, but it can’t update a record, route a lead or follow up on its own.

/ What we automate

Connected workflows, not isolated AI demos.

Each workflow starts from a real event in your business and ends with something done in a real system.

01

Lead processing

New leads captured from forms, calls and emails, checked for duplicates, enriched, qualified against your criteria and routed to the right person or pipeline.
02

CRM actions

Records created and updated, stages moved, owners assigned and tasks set, triggered by what happens rather than by someone remembering.
03

Notifications & alerts

The right person told at the right moment, by email, SMS or Slack, with the context they need to act.
04

Data movement

Data synced between forms, spreadsheets, databases and business applications through their APIs and webhooks, so each system stays current.
05

Email & document processing

Incoming emails and documents read, classified and turned into structured fields, then filed or passed to the next step.
06

Requests & approvals

Internal requests validated, routed for approval when needed, and completed and logged once approved.
07

Scheduled jobs & reports

Recurring checks, clean-ups and summaries that run on a schedule and report what they found.

/ How it works

Trigger, context, decision, action, record.

A workflow starts from a trigger: a form submission, an incoming email, a CRM event, a webhook or a schedule. It first gathers context, such as the contact’s record, past activity and related data.

Where the step needs reading or judgment, an AI model does one narrow job, like classifying the request or drafting a reply, and returns a structured result.

If the result is clear, the workflow acts: it updates the CRM, sends the message or calls the API. If it isn’t, or the action is one a person should approve, it goes to review first.

Every run is logged, so you can see what happened and why.

/ Where AI fits

AI for judgment. Rules for everything else.

Most of a reliable automation is ordinary logic. AI earns its place in the steps that involve reading, interpreting or writing, and nowhere else.

AI steps

Where a model helps

  • Classifying enquiries, emails and tickets by type and urgency.
  • Pulling specific fields out of free text and documents.
  • Drafting replies and follow-ups for a person to approve or send.
  • Summarising calls, threads and long records.
  • Qualifying leads against criteria that are hard to express as rules.

Workflow logic

Where rules are better

  • Routing on known fields: service, location, source, value.
  • Moving pipeline stages and assigning owners.
  • Scheduling, reminders and time-based follow-up.
  • Syncing records between systems.
  • Calculations, formatting and validation.

/ Human-in-the-loop

Built so people can trust it, and step in.

An automation that nobody can inspect or override doesn’t stay in use for long. These are designed in from the start.

01

Human review

Steps that send something to a customer, spend money or change important records can require a person to approve them first.
02

Escalation

When an AI step is unsure, or a case doesn’t fit the rules, the workflow hands it to a person with the context attached.
03

Logging

Each run records what triggered it, what it decided and what it did, so any result can be traced.
04

Error handling

Failed API calls are retried, and anything that still fails is flagged instead of silently dropped.
05

Narrow AI steps

AI gets a specific job with a defined output format, which makes its results checkable and its failures visible.
06

Documented handover

You get a description of each workflow, what it connects and how to change it, so it isn’t a black box.

/ Orchestration & tools

The right tool for each part of the workflow.

Some workflows belong in your CRM’s own automation, some in a workflow engine, and some need custom code. We choose per workflow, and connect them through APIs and webhooks.

/ How we work

Mapped first, then built, then tested.

  1. 01

    Map the workflow

What starts the work, which systems it touches, who does what today, and where it slows down or goes wrong.

  2. 02

    Design the system

Triggers, data, decisions and actions are designed before anything is built, including which steps need AI and which need a person.

  3. 03

    Build and connect

The workflow is built in the right tool for the job and connected to your CRM, forms, inbox, database and other systems.

  4. 04

    Test and hand over

Test cases run through every path, edge cases included, before it goes live. Then it’s documented and adjusted once real work flows through.

/ In practice

Where this shows up in our work.

For Restoration Connection, a restoration company, we’ve built nine GoHighLevel workflows, covering new service and emergency leads, missed calls, appointments, estimate follow-up and review requests. They are configured and now being tested end to end.
